Refund Policy
We want every teacher to feel confident buying from Smart Staff Room.Please read this policy carefully before purchasing. Because our products are digital and instantly accessible, our refund policy differs from physical product stores. We have written this policy to be as fair and clear as possible.
1. Our Digital Products
Smart Staff Room sells digital products including eBooks, printable journals, lesson planning templates, classroom activity packs, and other downloadable educational resources. All products are delivered electronically and are available for instant download after purchase.
Important — Please Read Before Purchasing
Due to the instant-access and downloadable nature of our digital products, all sales are considered final once a product has been accessed or downloaded. We strongly encourage you to read all product descriptions carefully before purchasing.
2. When Refunds Are Granted
We handle every refund request individually and fairly. Here is a clear breakdown of situations we will and will not issue refunds for:
✅ Eligible for Refund
- Product file is corrupted or unreadable
- Download link does not work after 48 hours
- You were charged twice for the same product
- Product delivered is significantly different from description
- Technical error prevented you from accessing the product
❌ Not Eligible for Refund
- Product has already been downloaded or accessed
- Change of mind after purchase
- You purchased the wrong product by mistake
- Product did not meet personal expectations
- Request made more than 7 days after purchase
3. How to Request a Refund
If you believe you are eligible for a refund based on the criteria above, please follow these steps:
- To request a refund, please email us at hello@smartstaffroom.com within 7 days of your purchase date — requests made after 7 days will not be considered.
- Include your full name, email address used at checkout, order number, product name, and a clear description of the issue you experienced.
- We will review your request within 2 business days and respond with our decision — we may ask for screenshots or additional information to help us resolve the issue.
- If your refund is approved, we will process it within 5–7 business days back to your original payment method, or alternatively we may offer a replacement file or store credit.
4. Technical Issues
We understand that technical issues can happen. If you are experiencing difficulty downloading or opening a purchased file, please contact us before requesting a refund — in most cases we can resolve the issue quickly by resending your download link or providing an alternative file format.
Common file formats we use include PDF, DOCX, and ZIP files. Please ensure you have the appropriate software installed to open your purchased product. Free tools like Adobe Acrobat Reader (for PDFs) and Google Docs (for DOCX files) can open all our products at no cost.
5. Accidental Purchases
If you accidentally purchased the wrong product and have not yet downloaded or accessed it, please contact us immediately at hello@smartstaffroom.com. We will do our best to assist you, which may include exchanging the product for the correct one or issuing store credit.
We cannot guarantee a resolution for accidental purchases once a product has been accessed or downloaded.
6. Duplicate Charges
If you were charged more than once for the same product due to a payment processing error, please contact us immediately with your order details and bank statement showing the duplicate charges. We will issue a full refund for the duplicate charge within 5 business days.
7. Promotional & Discounted Purchases
Products purchased during a sale, promotional period, or using a discount code are subject to the same refund policy as full-price purchases. The discounted price paid is what would be refunded if a refund is approved — not the original full price.
8. School & Bulk Licence Purchases
If you have purchased a school licence or bulk licence for multiple users, please contact us directly at hello@smartstaffroom.com to discuss any issues. Bulk licence refunds are handled on a case-by-case basis.
9. Changes to This Policy
Smart Staff Room reserves the right to update this Refund Policy at any time. Any changes will be reflected on this page with an updated revision date. We encourage you to review this policy before making a purchase.
